1. Requesting a cancellation or correction
Send requests to timeconference@gis.edu.gh with the participant name, registration ID, payer email, payment reference and reason for the request. Do not send card, mobile-money PIN or other payment credentials.
2. Refund eligibility
Refund eligibility depends on the timing and circumstances of the request, commitments already made for the participant, and any conditions displayed during registration. We will communicate the decision and any applicable deduction in writing before processing an approved refund.
Payment-provider charges, bank charges and costs already committed specifically for the participant may be deducted where permitted by law. Failure to attend without notifying us does not automatically create a right to a refund.
3. Duplicate or incorrect payments
If you believe you were charged twice or paid an incorrect amount, contact us promptly with the relevant references. We will reconcile the transaction with the relevant payment provider or payment account and refund any verified overpayment through an appropriate method.
4. Substitutions and group changes
We may allow a school or participant to transfer a registration to another eligible attendee before the event, subject to identity, session-capacity, dietary and certificate deadlines. A transfer is not complete until confirmed by us. Certificates are issued only in the name of the person who actually participated and satisfied the relevant requirements.
5. Programme changes
A change of speaker, room, session time or comparable programme detail does not normally constitute cancellation of the conference. We will make reasonable efforts to provide a suitable alternative where a selected session cannot proceed.
6. Event postponement or cancellation
If GIS cancels the conference, registered participants will be informed of the available remedy, which may include a refund of conference fees paid or transfer to a rescheduled event. If the conference is postponed, we will explain the options available to confirmed participants.
Unless required by law or expressly agreed in writing, GIS is not responsible for independent travel, accommodation, visa, insurance or other third-party costs. Participants should use flexible arrangements and appropriate insurance where relevant.
7. Processing time
Approved refunds are initiated as soon as reasonably practicable. The time for funds to appear depends on the payment provider, the payer’s bank or mobile-money provider, and the original payment method.
8. Statutory rights
This policy does not remove any right or remedy that cannot lawfully be excluded under Ghanaian law. For questions, contact timeconference@gis.edu.gh.
